MINUTES OF SERIALS IMPLEMENTATION MEETING

- Minutes of the March 17, 1999 meeting were approved. Moved by Joy Muller. Seconded by Linda Choptiany.
- ANNUALS. An OCAAT union catalogue of annual titles has been posted on the WEB under "Serials Implementation Project". The Bibliocentre has received lists of Annual titles ordered directly and through the Bibliocentre from 11 colleges and is expecting lists from the remaining 14 colleges.
The Bibliocentre has put any further discussion on hold until all lists are received, except to comment that this is a large undertaking and will not be completed within the next few months.
The question was asked if there would be any criteria for Biblionet users regarding their display of holdings. The Bibliocentre commented that this is an internal decision and that the Biblionet users should be thinking about this. The holdings display from NETCAT would be a line by line display for each year held. The holdings display from the SERIALS MODULE would be an open-ended date starting with the earliest year.
- UPDATING SERVICES: The following motion is to be sent to the UAG. "Recommendation to include Updating Services on the Serials Module" Moved by Linda Choptiany, seconded by Joy Muller.
- CALL NUMBERS IN PERIODICAL TITLES: Kerstin stated that a change to the call number format needs to be discussed at the Bibliocentre and UAG cataloguing groups and then a motion can be put to the UAG.
Brian Nettlefold commented that this group could put forward a motion that could be reviewed by the Cataloguing groups before being sent to the UAG.
Jocelyne Agnew suggested that all call numbers be masked in OPAC and Web 2. The call number appears in both the bibliographic record and in the item record. Masking the call number in the bibliographic record would insure that patrons look to the item record for the call number. In most colleges the item record also shows where the item is shelved in. e.g. Reference, Government documents, Shelved by title, etc. The item record also shows if an item is available.
The suggestion was also put forward to move the item record information (WEB 2 only) to the top of the screen under the title.
Alex suggested that a test be run in WEB 2. The first test will be masking the call number field. The second test will be to move the holding box around. Alex/Gohar will notify the colleges when this is ready.
Discussion followed on whether to put forward a recommendation on Periodical/Periodiques in the call number. The decision was made to wait till the above testing was completed before making any recommendations to the Cataloguing Committees and UAG. The test will be announced at the June UAG meeting.
- MASKING MARC SERIAL TAGS: The following motion is to be sent to the UAG. "Recommendation to mask MARC fields 210, 222 and 510 in serial records" Moved by Joy Muller and seconded by Carol McNabb
- DISPLAYS: OPAC SCREEN: This item has been deferred to the next meeting to allow for testing.
- ELECTRONIC RESOURCES:
- E-serials will have a single record, if print + electronic journals are available. The bibliographic record will be for the print version with an 856.
If electronic version only, a bibliographic record will be created with a GMD [computer file]
- URLsmaintenance issues. Discussion followed on how to maintain these. The following suggestions were made:
1) Colleges notify the Bibliocentre when there are changes to the URL.
2) Joy Muller suggested PURL options. Alex commented at present PURL solutions or similar testing had not been done.
3) A committee to be struck to look at PURL options.
- CD-ROMs and locally held disks (Direct Access Electronic Resources) Suggestions: Catalogue the title of the CD-ROM Catalogue the titles within the CD-ROM
- REMOTE ACCESS: Gohar stated she has looked at different journal indexing approaches e.g. Ryerson, University of Toronto and commented that these are all single institutions. The model for online indexing for the Bibliocentre will have to address our unique situation. Should the Bibliocentre start indexing now or wait until the renewal of jointly purchased databases? EBSCO Masterfile Elite database is up for renewal in August, all other databases are up for renewal in October.
Discussion followed on the databases that have been purchased by the Bibliocentre on behalf of the colleges. Comments were made on duplication of titles and how best to resolve this. Brian Nettlefold commented that even when a database is advertised as containing full text journals, vendors have a different conception of what constitutes a full text journal.
It was agreed that indexing of the jointly purchased databases would not start until after the renewal date. The Bibliocentre will work out a plan for indexing before the renewal date and present it to the committee.
Joy Muller asked how locally purchased databases are to be handled? This would be the responsibility of each college. A procedure for submitting this data will be worked out.
- NEW BUSINESS:
Seneca would like to do a costing list of their annual and periodical titles. They requested a printout of their annual and periodical titles in limited ASCII format with end of field characters. Alex will look into this.
Kerstin mentioned that she would bring to the Bibliocentre cataloguing group certain bibliographic records for review e.g. Canadian abridgement.
